    Note: Another happy announcement from TalentOz team: This time we introduced “Ask Tozy” a smart virtual assistant is integrated with TalentOz application to assist employee’s questions related to TalentOz.
    Note: We have launched an online user manual for ESS – Recruitment & Learning modules. Full scope of Help manual will be launched pretty soon.
    TalentOz application on every month has been transforming in a gradual manner to improve its User Interface to give a fresh look to the product. Similarly, we have also made functional level improvements to some of the features. This is a release notes document for the issues we have fixed and improvements we added in this Version of TalentOz.

    Organization

    1. To provide users with a better text editing experience, from this version of TalentOz, a new Rich Text Control has been introduced in ALL the notification templates to design custom notifications. So, that from now onwards users can control the appearance of their text using the rich-text editor by simply applying styles and formatting to the text content.
    2. New Tags has been successfully integrated in Letter template to generate letter for the Current Position experience and Overall Service experience.
    3. Advance import is used to import the transactions or process data with customized validations.
    4. Help.TalentOz.com – Help icon is introduced in TalentOz to know ESS process flow against module.

    Recruitment

    1. TalentOz application is now revamped with a new page to manage pending activities of Onboarding / Separation tasks.
    2. While onboarding, all the pre-arrival task attachments are now mapped with Employee documents in employee Profile while making a candidate as employee.
    3. New field named as “Visible to Internal Employees” is now enabled in the opening details to display the organization openings in Internal Openings Page to make sure that the openings are visible to internal employees only.
    4. System will now allow internal users to apply for an internal opening from internal openings page and at the same time it will restrict the users to apply for an external opening based on the settings.
    5. HR/Admin users can now set or define the “Purpose” field to make it as mandatory one or an optional one in the Hiring Request page based on new settings added in Recruitment Settings Page easily.
    6. From this version, HR/Admin users can easily assign multiple Custom roles as Owners / Followers for the onboarding or Separation Tasks which are assigned to employees.
    7. ToDo and mail notification has been successfully integrated for custom roles while assigning custom role as owners/followers for the onboarding or separation tasks.
    8. TalentOz is equipped with a new feature to help HR users to create duplicate copy of an existing hiring request in a simple way from existing hiring requests.

    New reports are successfully incorporated in the Recruitment module to benefit the clients using the system. They are as follows:

    1. Consolidated Opening Tracker Report – Enabled Employee Type and Job Class
    2. Hiring Tracker Report

    Employee

    1. Import Employment Movement – Admin / HR users can do a bulk import in the system for Movement Process.
    2. While importing movement of employees, based on the configuration settings, users can now use a sample template file for easy reference, and it will be generated from the movement type settings page based on the settings.
    3. System will validate all the conditions and criteria while import the bulk movement process while importing employment movement.
    4. Enabled ESS process for Dependent Details Malaysia feature as change request process based on privileges which are customized by the HR users.
    5. Privileges or authorization has been successfully enabled to manager users to view/update their subordinate’s dependent details in Dependent Details Malaysia widget to make manager roles to equip them with more efficacy.
    6. An e-mail notification has been successfully enabled for ESS process in Dependent Details Malaysia as change request process.
    7. A privilege has been enabled for “View Past Appraisal Form” in Employee Talent Profile page.
    8. In Employees list page, role privilege has been successfully integrated for assigned employee groups between different contexts in order to improve usability.
    9. Employment category has been successfully integrated in eProbation processes to initiate eProbation request based on employment category.
    10. In Previous version of TalentOz, HR Users / Admin users used employee’s email address to upload profile image of an employee. To make it easier process from this version HR / Admin users can upload employee’s profile image/picture based on the employee numbers itself.
    11. Automatic age calculation has been successfully enabled in the dependent details Malaysia widget based on Date of Birth of the dependents provided.
    12. To make it more flexible and provide advantage for the users, from this version of TalentOz users are allowed to provide special characters in contact number field of the dependents.
    13. Changed the order of position class before to Job Code in position creation / details for better clarity in creating a Position.
    14. Employee profile page can provide a perfect glimpse about employee’s basic information regarding talent, personal, or professional details. In this version, we removed Position Class from “Current Position Details” in employee profile page for better clarity of information.
    15. Employee Movement maps the route of an employee takes from a lower-level position through successive positions to reach arrive his/her ultimate position. To make it easier, TalentOz application from this version, enabled an option to display Employee Movement Process’s remarks in Career Progression page of an employee.
    16. Also, extension from the above point, In Employee Movement Process’s Remarks can be viewed by all the context / role users like Managers, HR and Admin users except self-context at Career Progression page.
    17. State, Medical Benefit fields are modified to Lookup fields instead of text value to avoid duplicate records in the system and valid State and Medical Benefit values are added.
    18. In this version, option enabled for status column in Employee VISA details report to identify the status of VISA details of an employee to make the report more comprehensive. Also, Employee Visa Details report has been enabled to generate employees visa details.
    19. A privilege has been successfully enabled for Employee Export option for HR users to generate Employee Information in a easy and effective manner.
    20. Also, report privilege has been successfully enabled for HR users to configure the Report List to Roles context.
    21. Role Privilege is enabled for resignation and voluntary retirement process while editing an employee profile to make the process more substantiate one.
    22. In this version, Enabled an option of “Add Position privilege” HR managers users to add/assign a position to an employee while adding new Employee to that particular position.
    23. Action By column is enabled in profile change request page to view the approvers who approved/Rejected the change requests submitted by the employees to make the process more transparent.
    24. System has been successfully modified and updated to display the employees career progression’s title based on the actual value of position held/employment details accordingly.
    25. TalentOz system has been successfully enhanced with an option to export position details dynamically in Employee Export Report to make the report more comprehensive.
    26. Employee Grade has been successfully enabled in Employee Profile details based on Role Privileges settings by the users.
    27. Also, Role privilege has been successfully enabled to HR manager roles to View /Add /Edit /Delete Employee Groups in an easy manner.
    28. An audit trail has been enabled successfully to capture all activities happened against users to make the system more transparent.
    29. Also, an audit trail has been successfully enabled in profile change requests to capture change request information with owners’ details while HR/Admin users can update employee profile information directly.

    New reports are successfully incorporated in the Employee module to benefit the clients using the system. They are as follows:

    1. Employee Insurance Report
    2. Employee Role Report – Assigned Employee Group is generated with Employee Role Report

    Performance

    1. In Performance Settings Page, from this version Admin/HR users can enable “Attachment’ options against any performance template which is included in the application as an open-ended performance component to make it more usable.
    2. Performance appraisal is an evaluation process used by organizations to evaluate employees and it has been instrumental in calculating both administrative and developmental purposes. So, in order to endow the appraisal process, application enabled attachment option for open ended performance elements in performance appraisal form during review stage to upload supporting documents by both Appraisee and Appraiser employees.
    3. In appraisal form, organization derives how employees fared against the goals and objectives set by the managers. So, to make the process more extensive, performance components (Goal Competency and Potential) rating scale description is enabled to display in the Appraisal Form after Scoring Completed by Appraisee/ Appraiser.
    4. Past Appraisal History section is enabled in Performance Appraisal form to display the Employee’s Past Appraisal History forms to refer the past performance of the employees which will be helpful for the managers to analyze the performance gaps which are already identified in the previous appraisal form.
    5. In Manage Reviews page, from this version onwards pending / In progress appraisal forms will be displayed as same after close the Performance plan by HR / Admin. System will not move incomplete appraisal forms in to Abandoned section while close the Performance Plan
    6. Also, in the Manage Reviews page, Appraisee / Appraiser’s abandoned performance appraisal form is enabled to display in review form to refer the abandoned performance appraisal details.

    Learning & Development

    1. A workflow is a series of sequential tasks which are carried out to execute a business process. For external training request, Mail template configuration has been successfully enabled in all the workflow actions to make the process easier.
    2. A privilege has been included for the level-based budget in learning budget page.
    3. Learning Budget Graph widget which shows how much budget allocated and how much amount has been expended so far is now be able to switch off / On based on context.
    4. While making participants as absent for the sessions, from this version a reason tag has been integrated in Email notification section.
    5. Modified the Trainer Code field as non-compulsory one while creating new session or while Importing the sessions for the HR/Admin users.
    6. In Learning calendar section, learning session details is revamped in a way to improve the usability of this section.
    7. Session Reminder settings and mail template can be defined or customized by Admin/HR users in Reminder Settings page. Also, enabled auto reminder service for sessions to trigger notifications for employees, trainers and HR users who all are assigned with session.
    8. Enabled feature privilege to ON/OFF Organization hours in Learning Home page
    9. In a Learning Request details page visualization option is enabled to show the next level approvers after Nominate Team request for the session.
    10. Global divisions by default successfully equipped to display the default value of budget without filtering Business unit in Division budget.
    11. TalentOz application is modified successfully to show the limited details about External Trainers to participants who are willing to apply for the sessions in upcoming session details based on settings by the users.
    12. In Learning Request List page, the system revamped its design to show the direct reporting subordinate as well as custom reporting subordinate’s learning request in team’s Learning request list page.

    Leave

    1. From this version of TalentOz, to make the leave management more robust for the users like managers / HR users’ system will automatically reject/approve the leave request from the subordinates when leave days exceeds.
    2. Also, disabled the Leave Carry Forward Balance in Leave Home, Leave Balance Summary and Apply Leave pages.
    3. Leave type fields are grouped in leave type settings page to improve the efficacy of the admin users in managing the leave management process.

    Claims

    New reports are successfully incorporated in the Claims module to benefit the clients using the system. They are as follows:

    1. Employee Claims Report – Included Claim Details (Status, Submitted Date) and Position Details (Department and Business Unit) in Employee Claims Report

    Time & Attendance

    1. TalentOz can be configured to automatically sync with organizations’ biometric/time machine and can provide seamless integration to help in managing attendance and leave data. Also, bio-metric single sync service has been successfully integrated for Daily Time Record of employees Check-in / Checkout actions in this version.
    2. In Daily Time Record page of employees, application is now enabled location icon to show Web / Mobile Check-in/Checkout location of the employees to make the time record of employee more accurate and make it more transparent.
    3. In overtime proposal of an employee, from this version system will not allow to delete first row of the overtime records in overtime proposal form to avoid deletion of all the overtime rows after successful submission of the request. Also, in overtime proposal workflow comments has been enabled as tag to display in mail notification for overtime proposal process.

    Payroll – India

    1. In Payroll process, specific employees’ section, new Joinee and separated employees filter option is enabled to filter the employees to make the payroll process more explicit and apparent one.
    2. Component name is designed to display with the component Code In OTC, FEED and in ADD Components.
    3. A work week pattern has been successfully integrated against employee in employee statutory details section to make the section more usable.
    4. Non-paid components will be displayed in a separate section from this version of TalentOz application.
    5. Bank name field is changed as a Lookup value instead of text value to choose the bank information from bank library.

    New reports are successfully incorporated in the Payroll – India module to benefit the clients using the system. They are as follows:

    1. Form T Report
    2. Form 14 Report
    3. Resettlement Report

    Payroll Malaysia

    1. Benefits in Kind (BIK) exemption for the employees revamped and designed in this version to calculate the benefits against individual pay component.
    2. In Malaysian Statutory details section, Additional PF details are enabled in this version. And the PF calculation is designed to calculate against those PF details in payroll process
    3. From this version, EIS of Income Tax will be calculated against tax slab of the employees.
    4. In Income tax part for the child exemption should work with age (against type of education)
    5. From this version, In Income tax section Marital Status Single should not consider dependents for exemption.
    6. Malaysia Employee components will be showed against master components (in Earnings) vs LOP (Include in deduction)

    New reports are successfully incorporated in the Payroll module for Malaysia to benefit the clients using the system. They are as follows:

    General

    1. System Settings page is completely revamped and allow to group the configurations under each process and module.
    2. From this version, the Organization Calendar will display the information regarding the details of the following features leave, Learning, Time Off Request.
    3. Workflow process is designed to skip steps when same owners available in the next steps while Managers initiate request on behalf of subordinates.
    4. Performance menu and Settings ordered as per performance process to improve the usability.
