    Payroll

    1. Import option for HR personnel comes handy to make their tasks easily throughout the TalentOz application. Now TalentOz also integrated the import option based on context wise too. So, from now onwards context-based import is available for the following:
      • Salary master
      • One-time component
      • Fixed earnings and deductions &
      • LOP Component.
    2. TalentOz is now updated and now made available with Form 12BA generation too. This form is a statement regarding the perquisites (familiarly known as perks), other benefits or amenities provided and profits in lieu of salary. So, HR users can now easily generate Form 12BA and made available to their employees from TalentOz.
    3. A new option has been included in TalentOz PayCycle page named “between cutoff days” for the field ‘Salary to be paid’. This option is included as some organization needs to pay their employees on the cutoff days instead of standard month days. So TalentOz introduced this option to make their salary process in respect with LOP and make Full & Final settlement process more pliable.
    4. While defining salary details for an employee, now HR users can now Auto entitle the reimbursement component.
    5. Continuing from the previous point, HR users can also customize Manual entitlement process for reimbursement components.
    6. Disbursement type has been defined as separately or through payroll against to the reimbursement component for the Reimbursement process.
    7. In order to make the list of links in the settings page of Payroll menus more accessible, it has been categorized and grouped accordingly.
    8. TalentOz is now improved by loading IT declaration section after the creation of new financial year by the HR users.
    9. Based on new amendments made in the Income Tax by the honorable Indian government TalentOz application is amended accordingly and HR users can use from the current financial year. The amendments made in this version of TalentOz are:
      • Rebate under section 87(A)-100% tax rebate subject to maximum of Rs. 2,500 available to resident individual whose net taxable income does not exceed Rs. 3.5 lakhs.
      • Standard Deduction for salaried taxpayers has been increased from Rs. 40,000 to Rs. 50,000.
      • Education Cess on Income Tax has remained same at 4%.

    Reimbursement

    Reimbursement is an act of compensating someone for an expense. Often, a person is reimbursed for out-of-pocket expenses when he/she incurs those expenses through employment or on account of carrying out the duties for the organization. TalentOz happily introducing a new feature under Payroll module is Reimbursement. By using this feature employees can apply for reimbursements and keep track of all past requests at one spot with TalentOz’s reimbursement system. Managers can view every subordinate’s requests in detail and take appropriate action. Basically, our system follows a very simple model to cater the reimbursement module for all business needs.

    Reimbursement Components: Create the types of reimbursement components that you would process for your employees. Some of the popular pay heads under reimbursement claims are: Telephone, Conveyance, LTA, Vehicle running expenses Medical expenses etc.

    Self-service: Employees can submit their claim by choosing the reimbursement types and must fill in all the necessary information and upload necessary attachments to request and process their claims.

    Reimbursement Approval System: Claim approval request will automatically route to the employee department head or Team Manager or any

    Reimbursement Process: Once reimbursement request is approved from the respective approvers of team member it will automatically processed according to the settings page.

    1. Reimbursement components pertaining to CTC can be defined in the application. Admins are the only ones with access to create new reimbursement components for employee reimbursement in the settings page. Each component is configurable according to the company’s policies and regulations. For example, Entitlement type a field by which companies can select whether they are going to entitle the amount by monthly, quarterly or on yearly basis. Also provide facility to create unlimited reimbursement components like LTA, Medical, Car Maintenance, etc.
    2. Also users can entitle reimbursement amount for all the components employees can avail by simply selecting paycycle, financial year and initiate the process in “Reimbursement Entitlement Process” page.
    3. Pre- defined set of rules have been set in the system for the eligibility for reimbursement as per the policy of the company. The compensatory amount can be fixed or can vary based on the component’s entitlement.
    4. Employees can apply reimbursement for different components like Medical, Fuel, Telephone and Leave Travel Reimbursements can be claimed. Employees can directly update the claim details (bill amount, date reference, etc.) and upload the bills.
    5. The employee can send reimbursement requests through his employee self-service portals with a single click. If the user is a supervisor, he can view the reimbursement requests for all of his subordinates in a single view. The requests come with the option of approve and disapprove.
    6. As TalentOz is a web-based application all the reimbursement claims can be uploaded online against the invoices of the spent amount. The employee can track the available balance, his claim history and all other details related to his claims on his employee self-service portal.
    7. Employees can have a quick snapshot about their reimbursement balance amount, the amount they paid for any specific component while applying for a reimbursement claim.
    8. Different ways are available for the HR/ Finance manager to track and monitor these claims – sample list includes: List of Pending Reimbursements, Reimbursement details, Reimbursement Summary etc.
    9. The amount so claimed by employees can be integrated to payroll process or can be paid separately based on the configuration settings.
    10. Also, approvers of reimbursement claim have validation of claim requests against available balances with facility to override.
    11. Admin users can easily process the pending requests of Reimbursement or process any reimbursements for a specific duration in a single click.

    Leave

    1. Mail notifications will be sent to notifiers for all types of workflow actions (Approve, Reject, Retract, Forward, Close, Cancel).
    2. Enable Salary Advance Feature in leave while HR applying leave for Employees
    3. Now an e-mail notification will be sent for Leave Notifiers across all levels of workflow.

    Performance

    1. TalentOz is now equipped with more setting options in the Performance Template page. Now HR users can set privileges for Remarks section & Scoring part itself. By which users can set who can view the scoring part and view the added remarks by simply multi selecting the roles.
    2. Newly introduced a field named “Enable Overall Score Text”. On enabling this field, employee’s overall score based on the performance assessment is now made available in the form itself. So that employees can view the overall score in a text format (which is a custom text provided by the HR users).
    3. By default, while adding a performance template HR user are provided with 4 approval levels. They can select and customize who are all the managers or roles or any specific employee(s) involved.
    4. In the previous versions of TalentOz, Performance score are calculated based on only the star ratings provided by the employee or manager respectively. But this form of scoring is not universal, and some clients opt for a Percentage (%), weightage-based scoring. So now TalentOz included both the types of scoring to make the system more flexible.
    5. Now HR can configure how they want to score different components (Goal, Competencies etc.,) in a performance appraisal like a simple scale based on star rating, Percentage (%), Score Goals according to the weightage of the goal provided.
    6. Now HR can preload the potential in the performance assessment form. In our previous versions only Goals and Competencies are preloaded for employees. But from this version, the potentials can also preload in the assessment form.
    7. While preloading the potentials, HR users can now either add more potential or remove the loaded potential from the list.
    8. Also HR users can now made reviews mandatory for Goals, Competencies and Potential by simply selecting the provided option.
    9. A highly useful and applicable Recommendation section in performance module. HR users can configure while creating a template. By enabling recommendations section managers, peers or who are all have the privilege can view the section and recommend corresponding employees for Position or Grade change. HR users can also compose questions for the reviewers to answer to substantiate their recommendations by simply answering the questions in this recommendation section.

    Pulse Survey

    TalentOz also happily announcing that brand new feature called Pulse survey is included in the current application. In today’s fast-paced, tech-driven world, it’s critical for businesses to do everything to keep their employees engaged. Quite simply, engaged employees are happier, they’re more productive, and they’re less likely to look for a job at another organization. Pulse survey is one kind of a tools to find the pulse of employees. Employee pulse surveys have found their way firmly into the business world. Through organizational adoption, the ability to capture a quick snapshot into employee opinions, employee pulse surveys can benefit all areas of an organization. With TalentOz pulse surveys, you can measure fluctuations in engagement and step in to improve the organization’s experience faster than ever.

    Pulse survey Template
    As name suggests admin users can create multiple pulse survey templates which can be used in publishing a survey. Admin users can create any number of templates. A template can be created with set of questions of various question types. Users add new questions to survey by clicking add icon. When you add a new question, a modal window view appears where you can enter your question text and customize the questions.

    1. Survey templates are listed in tile format with options to View or Delete template. Users can edit the template basic details like Name & Description. Also, users provide with options to modify the question details and be able to remove the any specific question(s) from the list.

    Pulse surveys
    Pulse surveys are shorter, more frequent surveys that happen at a regular time interval. They can include content on any topic. Pulse surveys quickly, and easily measure employee experience and organizational health. And also, surveys can track progress on company-wide HR initiatives like inclusion and diversity or career development.

    1. Pulse Surveys are listed in tile format with options to View, View Results or Delete surveys. Users can view the survey with option to view the questions and the number of employees who all are assigned to this survey.
    2. Users can also view a detailed snapshot of the results of this survey with chart graphics. Also, they can view the number or assigned employees to this survey and number of participants who have participated in the survey.
    3. Users can also provide with an option to download each individual question to get an overall insight.
    4. When assigned employees of survey are login to the application, they will be notified by a alert notification to complete the survey.
    5. Upon completion, admin users can review the responses that are received during the survey period. Look for areas that need improvement, as well as reflect on the positive areas. Analyze trend data, showing how results in each key area is changing over time.

    Claims

    1. From this version, based on privilege settings, users can edit all the claim details from the employees and modify a claim request. In previous version, only claim amount it editable to the users. Also, the claim details are editable only when the status of a claim request is either in “submitted” or “retracted” statuses.
    2. Claim request audit trail has been introduced in this version, so that users can view the action taken, action date and description that the claim request has undergone in the process.

    Learning & Development

    1. A modification has been implemented in session form for employees. From this version, employees can choose “Self-Nominate” action or “Team Nominate” button inside the session form itself.
    2. TalentOz is now updated and will load Provider Details in “Provider Details” link in a modal window. Employee can able to edit any of the provider details by clicking the “Edit” action button and able to delete the provider unless the provider is not linked with any of the undergoing / upcoming sessions.

    Reports

    1. Audit trail feature has been implemented in Manage Workflows too.
    2. Also TalentOz application is now updated with the capture of Audit Trail Feature for All roles to give more details to the HR users.
    3. Public Projects are loaded in “Add Task” for all the clients.
